Re: Engineering Services - Adjustment to Current Scope
Dear Mayor Waiz:
This letter requests authorization for a contract adjustment for an ongoing project for the
City of Jeffersonville. The project will be billed on a time plus materials basis at our
standard multiplier against the proposed not-to-exceed budget.
Onaoina Evaluation of EMC Operations (Project Number 2-944.002)
Our original contract provided for 12 monthly reviews with a budget of $16,000. PEH
Engineers (Division of Strand Associates) was able to provide 16 monthly reviews for
the initial contract amount. In December 2000, a budget extension was authorized for
PEH to provide 24 additional monthly reviews within a budget of $27,000. In fact, we
have been able to provide 25 reviews within that budget. In February 2003, the
Jeffersonville Sewer Board requested PEH amend its contract to continue preparing the
monthly review of EMC operations for 12 additional months. In additiOn to monthly
reviews of the WWTP operation, Strand also prepared 6 monthly reports on the
operation of the CSO system. We have been able to complete the requested reviews for
the budget authorized.
Strand Associates is proposing to amend our current agreement to include 12 additional
monthly WWTP reviews and six (6) CSO system reviews (completed every other
month). With heightened regulatory oversight and public interest in the CSO system, we
believe the CSO reviews will benefit the City. We have prepared a spreadsheet (copy
attached) that constructs a proposed contract amount. We request authorization of an
additional budget of $16,500 to cover 12 additional monthly WWTP reviews and 6
every-other-month CSS reviews (through December 2004).
If this adjustment is acceptable, please sign and return one copy of this letter for our
files.
