PRESENT(VIRTUAL): CALL TO ORDER: Mayor Mike Moore called the meeting to order at 9:33 a.m. in the Mayor's Conference Room in City Hall. The meeting was held in person and streamed on the City's Website. Andy Crouch and Rob Waiz served on the board. APPROVAL OF THE MINUTES: Mr. Crouch made the motion to approve the minutes from April 10, 2024. Mr. Waiz seconded the motion; motion passed, 3-0. APPROVAL OF PAYROLL: Mr. Waiz made the motion to approve the payroll. Mr. Crouch seconded the motion; motion passed, 3-0. OLD BUSINESS: NEW BUSINESS: 1. Josh Darby with Jacobi,Toombs and Lanz-Request for approval of Ewing Lane Sidewalk Design Agreement— Mr. Darby advised this agreement was being presented at the request of the Engineering Department and would be for the Sidewalk Project on Ewing Lane from 8th Street to Utica Pike. They would design a new sidewalk for the portion that does not currently have a sidewalk between Utica Pike and Park Place. The sidewalk from Park Place to 8th Street would be replaced and brought up to ADA compliance as it is in poor condition. This contract covers the survey, design, utility coordination, bidding, and construction admin. Mr. Crouch advised he does have the money in his budget for this contract. Mr. Waiz made a motion to approve the contract and Mr. Crouch seconded the motion; motion passed, 3-0. 2. Larry Wallace—Request for approval of annual contract for maintenance of clock outside of City Hall — Mr. Wallace advised this contract is for the maintenance for the clock outside of City Hall and in the amount of$895 per year. This will be paid out of Building Authority. Mr. Crouch made a motion to approve the contract and Mr. Waiz seconded the motion; motion passed, 3-0. ATTORNEYS REPORT: Mr. Merkley presented the policy: Dock Policy For Thunder Over Louisville In the Event Docks Cannot Be Used. Mr. Merkley advised the Parks Department annually auctions off the use of the docks for Thunder Over Louisville. This year the docks will not be able to be used because of the high water along the Ohio River. His recommendation is to adopt a policy addressing this situation. The policy states in the event the docks cannot be used during Thunder Over Louisville, the highest and winning bidder for the docks shall be given the first opportunity to use the docks in the following year's event provided the bidder pays the same amount they did for the prior year and the payment is made at least 10 days before the following year's auction takes place. Mr. Crouch made a motion to approve the policy and Mr. Waiz seconded the motion; motion passed, 3-0. ADJOURNMENT: With our her busi s, Mr. Crouch made a motion to adjourn at 9:37 a.m. Approved by Mayor Mike Moore A test: Lisa Gill, City Clerk DOCK POLICY FOR THUNDER OVER LOUISVILLE IN THE EVENT DOCKS CANNOT BE USED The City of Jeffersonville by and through its Parks Department auctions to the highest bidder the use of the city docks during the Thunder Over Louisville annual event. Occasionally, the docks cannot be used for unforeseeable circumstances as determined by the Parks Department including high levels of the river. In the event, the docks cannot be used during the Thunder Over Louisville annual event, the highest and winning bidder(s) for the docks shall be given first opportunity to use the docks in the following year's event provided that the bidder(s) pay the same amount that was paid for the prior year and said payment is made at least ten (10) days before the following year's a tion takes place.
