We appreciate the opportunity to provide this proposal outlining professional services for the Jeffersonville Fire Depart- ment Addition to Station 1. We believe our municipal and recreation experience throughout Southern Indiana and across the country position TEG to serve this project in an efficient and cognizant manner. We understand there is a long list of possibilities for this project. We have been asked to help define the scope of the project and prepare images and designs suitable for presentation to City of Jeffersonville officials and City Council. This is a Schematic Design Package with relative construction cost estimates. This information is intended to only define the scope of the project and provide relative information from which decisions about the project components'feasibility will be determined. Detailed documents will need to be prepared in the future under a separate proposal for bidding and construction purposes. Please find outlined below a brief synopsis of this proposal. If found to be acceptable, please sign where indicated and return a signed copy of the proposal to TEG Architects at your earliest convenience.This document delineates the following elements of the agreement: Section One: Project Scope Section Two: Scope of Services Section Three: Basis for Compensation Section Four: Additional Services We look forward to working with you on this project and will strive to demonstrate the advantages of our approach to Service, Quality and Creativity. Sincerely, of R.Wayne Estopinal I AIA,ACHA,LEED AP President TEG Architects LLC TEG ARCHITECTS LLC 903 Spring Street I Jeffersonville,Indiana 47130 1812.282-3700 CITY OF JFFFFRSONV LL 71PE DE-AFTv1FNT 1 18 JULY 2017 SECTION ONE PROJECT SCOPE l.ol The leadership of the Jeffersonville Fire Department requested that TEG Architects prepare a series of images and design deliverables that will define the scope of this/these project/projects,to allow decisions on which components are feasible. The intent of these deliverables is for scope definition,not bidding and construction. 1.02 The client desires to provide better accommodations for fire fighters and staff at the former headquarters located at Wall Streetand Eighth Avenue.The original structurewas designed by Dick Scott and Bob Kissinger in 1963 and has been in use since its'completion. 1.03 The structure is essentially a load bearing concrete masonry unit(CMU)with woodenjoists and trusses on a slab on grade except for a small basement in the southwestern corner of the structure. 1.04 The JFD desires to include the following elements in this Schematic Design Package: 1 Southern Addition to include the following components. New Firefighter Living Room. New Exterior Patio. New Bedrooms(3). New Toilet accessed from the corridor. New Toilet shared between two bedrooms. New Office. New Reception/Main Entry Area. This addition will involve some analysis of setbacks and property line constraints upon the exterior wall and its' fire resistive rating. This addition will focus upon glass on the west and east facades with skylights in the east/west corridor. .2 Southern Renovation to include the following components. Expanded Kitchen/Dining Area. Potential Conversion of Bedroom to Apparatus/Gear Room west of Existing Kitchen. .3 Northwest Renovation to include the following components. Workout/Fitness Room. Renovated Toilet/Shower. Cascade Room. Laundry. .4 Apparatus Entry Widening. TEG and TRC Structural will prepare exterior elevations and two details delineating the modifications to the horizontal width (converting to two doors instead of the existing three doors)for the main entry. Additionally,TEG/TRC will examine the vertical opening and determine the feasibility of increasing the height of the two new openings. TEG ARCLIITECTS 3 CITY OF--FFEPSONVILLE OEPA,?TMEVT 118 JULY 2017 SECTION TWO SCOPE OF SERVICES 2.01 TEG will prepare a Schematic Design Package for this project. .1 The SD Package will consist of the following: Existing Floor Plan Proposed Floor Plan Proposed East Elevation Proposed Exterior Rendering of East Elevation and Southern Addition. Project Construction Cost Estimate based upon square footage costs and adequate contingencies. Estimates are typically within 15%of actual costs. Project Summary Statement " t Err ��K r C TY OF J --FEPSONVILLE FIRE DEPARTMENT 1 18 JULY 2017 SECTION THREE BASIS FOR COMPENSATION 3.01 TEG Architects LLC presents a fixed fee of$8,500(eight thousand five hundred dollars and zero cents)for the services outlined in Section Two. 3.02 Reimbursable Expenses are not included in the fee stated in 3.01.Our firm's policy on reimbursable expenses is to invoice our clients at our direct cost with no mark-up for pro- cessing.Examples of reimbursable expenses include but are not limited to the following: Travel Expenses(mileage based on the current Federal Standard per mile) Reprographic Expenses for the production of check sets and bidding sets. Reprographic Expenses for the production of presentation drawings and display boards. Shipping Expenses associated with distribution of materials associated with the project. Advertising expenses All City, State and other Authorities having jurisdiction Plan Review Fees, Zoning Applications,etc. 3.03 Invoices will be distributed on a monthly basis.All invoices unpaid after thirty(30)days beyond the invoice date are subject to interest charges at a rate of 1.5%per month applied to the outstanding balance. 3.04 If for any reason,the project is halted for more than 90 calendar days;TEG Architects LLC is to be compensated for all work and expenses performed prior to the stoppage. 3.05 If Owner/Client breaches this agreement by failing to pay,after demand,any amounts due Architect then Architect may commence suit for damages,and recover its attorney fees incurred as a part of its damages. SECTION FOUR ADDITIONAL SERVICES 4.01 All services beyond those outlined in this Proposal are considered Additional Services.If Additional Services are required,a separate proposal defining the Scope of Services and Professional Fees will be prepared 4.02 Revisions to designs or documents after approval at each project development phase or final documents previously approved by the Owner/Owner's Representative. 4.03 Meetings beyond the meetings outlined in the Scope of Services,(including meetings with city,state or other agencies for review of the project.) 4.04 Revisions to drawings upon completion of construction/installation to provide accurate as-built drawings. Evaluating professional services is very difficult,scope of services and fees vary greatly from one proposal to another. If services outlined in this Proposal are not as you desire or do not reflect the scope that others may propose, please allow TEG Architects LLC to modify to better serve you and the project.
