The City of Jeffersonville will not disclosed details contained within to any other party without prior consent of ProMedia Group. a PROMEDIA G R 0 U P % 1t� PROJECT DESCRIPTION ProMedia Group will promote positive Economic and Redevelopment messages regarding the City of Jeffersonville via existing internal communication channels, local and social media per the described services below. 1. Monthly Video News Release: (VNR) Monthly Video News Releases (VNR's) will be produced and broadcasted via City's website, Facebook and YouTube Channel.The VNR's will be approximately 3 minutes in length and will be produced utilizing animated graphics, photos and video footage. Each video will feature various topics including; Current Events, News Stories, Department Spotlights, and Mayor's Message. Each segment highlighting topics that support and reinforce positive occurrences in The City (business, redevelopment,community, events,tourism) etc. We will utilize a professional voice-over talent that will host the VNR off-camera. Video interviews with be conducted and edited into the finished program. The program's visual content will primarily consist of photos and video clips provided by the City. Investment-$1,850.00 per mo. 2. Monthly Social Media Campaign: ProMedia Group will maintain The City's FaceBook page and twitter feed. We will provide copywriting, and project management for daily/weekly updates that will promote events, news and happening within the City of Jeffersonville. The social network will be monitored at all times insuring the City is represented in the best possible way. Investment-$1,500.00 per mo. 3. Monthly Website Content Management:www.cityofieff.net will be managed by ProMedia Group. We will provide copywriting, photography and project management to complete written news stories that will be uploaded to the City's website. Special events, News Stories, City Initiatives and Mayor's comments will be updated on a regular basis. In addition, ProMedia Group will provide up to six hours per month to perform on-going updates and website maintenance for internal departmental pages. Investment-$750.00 per mo. 4. Website Hosting, Maintenance and Updates: ProMedia Group will provide website hosting and up to 5 hours per month to perform ongoing updates and website maintenance for internal department pages. Investment-$600.00 per mo. 5. Bi-Annual Newsletter: ProMedia Group will produce 2, 10-page color Newsletters, Spring and Fall. Creative concepts, Copywriting, Design and project management will be provided to complete written news stories that will be printed and mailed per the City's preferred vendor. The City of Jeffersonville will not disclosed details contained within to any other party without prior consent of ProMedia Group. a PROMEDIA GROUP Supplemental Social/Digital Campaign ProMedia Group recommends the following additions to the current social media and digital marketing plan for the City of Jeffersonville Redevelopment.The ProMedia team has put together a list of changes and improvements that we believe can help the City extend its message to a younger audience. Choosing to enact any one of the options listed does not require all options in this proposal to be implemented. Monthly Video News Release (VNR) • New Intro for Jeff Currents The video intro for Jeff Currents has been roughly the same since its inception. With the possibility of publishing to a new platform and reaching a newer, younger audience, we feel a change could benefit the branding of the video series. • Publish to Facebook with boost Over the last year, the City's videos have seen tremendous success when published directly to Facebook and then boosted. Example: The recent Housing Report video (which was published to Facebook) had more views and saw more social media interaction than the entire year of Jeff Currents (published to YouTube) combined. We would still post to YouTube but would like to reach our Facebook audience more directly. Social Media and Photography • Verify all City of Jeffersonville Accounts "Verifying" a social media account allows for your account to appear at the top of search results more often and deters fake accounts from passing themselves off as official. • Establish an official #hashtag r Using a consistent hashtag endorsed by the city encourages more social media interaction on Twitter and allows us to track public conversations about the city. • Designing and submitting "Photo Filters" for Social Media channels. r Graphic design services for social media "photo filters" for downtown, various special events, and the city of Jeff in general. • Create an Instagram account The social media platform, Instagram, can be a way to keep the younger generations informed about what is going on in their city. Social Media Events and Programs • Twitter Takeover The mayor will "takeover" the city's twitter account for a day. We will promote the event weeks in advance. Citizens can reach out to the city account and get a response on questions directly from Mayor Moore. ProMedia Group will provide an employee to be on site for most of the day, helping sort through incoming tweets and craft replies. • Monthly Podcast A monthly podcast will be recorded and posted to the city's website and social media platforms. The duration of the podcast will be approximately 15—20 minutes. A set of equipment will be assembled for the possibility of recording the program at various sites around Jeffersonville. • Video Promos y Short videos can be made for promotion purposes for either (or) both the Monthly Podcast or the Twitter Takeover. The videos will feature the Mayor answering a few questions, promoting the citizens' opportunity to ask him their questions via Twitter and have them answered on the day of the Twitter Takeover or during the Podcast. Supplemental Investment: $1,300.00 per mo. Summary ProMedia Group is providing the option for the additional following services: • Development of new intro for monthly Video News Release • Publish VNRs through additional social media platforms • Verify social media accounts • Create and establish an Instagram account • Promote the use of a city-sponsored hashtag on Twitter • Start a monthly Podcast with the Mayor • Provide support and promotion for Twitter Takeover • Create specific video promotions for online events • On-going consultation, project management, post-meeting reporting • Social Media Data and Tracking • Photography 1 All Information Contained in This Quotation is Confidential and solely for use by for the City of Jeffersonville. Creative approval. Client must approve the script, layout,outline and any other creative project elements by the date established above. Late approval may result in final delivery after the promised delivery date. 2. Third-party vendors. It is understood that ProMedia Group may work with various vendors to complete certain aspects of custom projects. 3. Additional charges. Any changes made to the project description in this proposal may result in additional charges to be determined, based on the changes. Any changes made to the copy, creative treatment or layout after approval can result in additional charges. 4. Creative control. ProMedia Group retains creative control of the product to the extent it meets our standards of quality,excellence and integrity. S. Portfolio inclusion. PROMEDIA GROUP *General Terms & Conditions 1.Client Cooperation: Client represents that its Authorized Representative has authority to act on behalf of Client, including but not limited to, to accept/approve any completed Workflow Stage services, issue change orders, and sign other writings with respect to Project. Client may change its Authorized Representative at any time upon written notice to ProMedia Group. Client agrees to fully and promptly cooperate with ProMedia Group in connection with its services hereunder by making Client's Authorized Representative available to assist ProMedia Group by, among other things, reviewing and accepting/approving completed Workflow Stages, and otherwise pursuant to Agreement upon ProMedia Group 's reasonable request. 2.Approvals: Client's Authorized Representative will be required to approve or suggest revisions during the Project. After being given materials for approval, Authorized Representative will be notified and thereafter, will have 10 days to make revisions in writing and submit same to ProMedia Group or sign-off indicating Client's acceptance thereof. If Client makes no revisions during these revision periods or fails to timely sign-off, ProMedia Group may deem all services rendered in connection with then completed Workflow Stage to meet Client's satisfaction and to have been approved and ProMedia Group may then proceed to next Workflow Stage. 3.Invoices: Contractor will submit a quote to be signed. Upon acceptance of the quote, an initial deposit invoice and incremental invoices for all services performed will be submitted to the Client. Payment for these invoices is due on receipt. 4.Indemnification: Client agrees to indemnify and hereby holds harmless ProMedia Group and its agents, employees and Subcontractors from and against any and all losses, expenses, claims, liabilities and damages (whether consequential, incidental, or otherwise) resulting from the use or reproduction of Client Materials/Media furnished by Client hereunder or Client's breach of Agreement. S. Liability: ProMedia Group warrants to Client that the material, analysis, data, programs and services to be rendered hereunder will be of the quality designated and will be performed by qualified personnel. ProMedia Group makes no other warranties, where written,oral or implied, including without limitation warranty of fitness for purpose or merchantability. In no event shall ProMedia Group be liable for indirect, incidental, special or consequential damages, whether or not the possibility of such damages has been disclosed to ProMedia Group in advance or could have been reasonably foreseen. ProMedia Group's liability for Client's actual damages will be limited to the actual amount paid by Client for the aforementioned services. This limitation shall apply regardless of the form of the action, whether such liability arises from a claim based on contract warranty, tort or otherwise, including negligence. This limitation does not include liability due to claim by Client for bodily injury, damage to real property or damage to tangible personal property for which ProMedia Group was found legally liable. 6. Nondisclosure of Confidential Information: ProMedia Group acknowledges and agrees that, in rendering services hereunder, it may be given access to information about Client, its products and services, methods of manufacture and methods of doing business, as well as customer identifications, internal business information and other information about Client's business. To the extent that Client designates such information as confidential, ProMedia Group agrees to take reasonable precautions to maintain this information in confidence and not to disclose it except to those under its control and who have the need to know such information. 7. Disputes: Any dispute that arises between the parties with respect to the performance of this Agreement and subsequent Proposals shall be submitted to binding arbitration by a mutually agreed upon arbitration program, to be determined and resolved by said arbitrator under its rules and procedures the parties hereby agree to share equally in the costs of said arbitration.
