HomeMy WebLinkAbout2026-R-5 Resolution Clarifying the Policy for Payment of Vacation Accrual upon Seperation from the City . •a RESOLUTION NO 2026-R- BEFORE THE BOARD OF PUBLIC WORKS AND SAFETY FOR THE CITY OF JEFFERSONVILLE STATE OF INDIANA A RESOLUTION CLARIFYING THE POLICY FOR PAYMENT OF VACATION ACCRUAL UPON SEPARATION FROM THE CITY WHEREAS, the Board of Public Works and Safety of the City of Jeffersonville, Indiana (hereinafter "BPW") is responsible for the day-to-day management of the City of Jeffersonville employees; and WHEREAS, as part of those responsibilities, the BPW is to approve the employee non- benefits section of the City's Policy and Procedure Manual and when necessary, to update and/or clarify portions of the manual; and WHEREAS, the City, through its Department of Human Resources and Department of Finance, does periodic reviews of the existing police and procedures for employees; and WHEREAS, the City's existing Policy and Procedure Manual states that an employee, upon separation from the City,shall be paid for all accrued unused vacation leave up to a maximum of six (6)weeks; and WHEREAS, a limited number of employees (hereinafter called "grandfathered employees") had accrued unused vacation leave in excess of six (6) weeks when this policy was adopted as of April 9, 2017; and WHEREAS, the City documented the "grandfathered employees" including the amount of accrued unused vacation leave in excess of six (6) weeks as of April 9, 2017; and WHEREAS, it was the intent of the City to allow those "grandfathered employees"to not lose the amount of unused vacation leave in excess of six (6) weeks they had when the policy adopted whereby those days would awarded to their bank of vacation days; and WHEREAS, the Department of Human Resources and Department of Finance have concluded that there is a need to update the administration of the payment of vacation accrual upon an employee's separation from the City; and WHEREAS, the BPW believes it is in necessary to clarify to City employees the administration of payment of vacation accrual upon an employee's separation from the City; and WHEREAS,the BPW has reviewed the section regarding the payment of vacation accrual under the City's Policy and Procedure Manual and would like to clarify as follows: It is hereby the policy of the City of Jeffersonville that those "grandfathered employees"who had accrued vacation leave in excess of six(6)weeks shall be paid upon separation for all unused vacation leave up to the amount documented as of April 9, 2017. NOW THEREFORE IT IS RESOLVED by the Board of Public Works and Safety of Jeffersonville, Indiana that Jeffersonville Policy and Procedure Manual shall be interpreted and administered consistent with the aforementioned terms. • Passed and adopted this ,9' day of June, 2026, by the Bo of Public Works and Safety of the City of Jeffersonville, Indiana, Clark County, Indiana.
