Committee in Attendance:
Amber Ridings, Brittany Luttrull, Paul Northam, Greg Sumler, Brian Smith, Robbie Jackson and Amber
Powell.
Internal Discussion:
Light up Jeff Concerns: Overall police were happy with how light up went. Amber did bring up some
concerns she noticed during the event.The crowd was thick and people were in the streets which made
the road tight for the cars and floats. Amber suggested bike racks be used next year to keep the crowd
behind the rails.
House by Jeff Aquatics: Owner passed away. Family reached out to Paul about possibly purchasing the
property. Paul said it would be great to add additional parking. Swim meets get crowed and is in need of
more parking.
City Services: It was discussed coming up with a plan to have city service fees in place when they are
needed.This would allow the city to not take on all cost for city employees/service. Fire said they would
use 4 people at events and 6 for large events and the cost per employee is$68 an hour. Police will get
back with us on their cost. Next step is create a proposal for board of public works.
Final Check in:
Christmas Classic: Marlon Baker, hosting event, came to the meeting. Marlon had changed his date
three times without making special events aware. Amber made him aware he cannot change dates
without coming back to a special events meeting. Marlon apologized and understood. We asked what
he needed from us. He said he needs the goals lowered. We made him aware the bathrooms outside the
gym cannot be used.Those are the schools. Bathrooms in the fieldhouse only. Marlon said he didn't
have any food venders but will have some concessions items. He said he will email food permits from
health department to Brittany. Marlon said he will be there right a 1PM. Marlon will be emailing security
for event as well.

Final Check in:
Christmas Classic: (December 201 Notified Brittany Luttrull by email on 11/4 that
he couldn't attend today's meeting. Did state in the email he would be at the
December 2nd meeting.
Light Up Jeff: (November 22nd) Tara was unable to attend Meeting today. Tara has
no changes. No one had any questions. Everyone got copies of the maps and
routes for event.
Permit Fees: Amber Powell talked about the benefits of changing the permit fees.
She talked about city departments that are involved in the events should have a
flat rate and part of the permit fees is the person/ organization putting on the
event should have to cover the cost of city services. Hillary created a document
that was sent out to each person on the committee. This showed surrounding
cities that are currently doing special events this way. Amber R asked each
department that attended to send Brittany a copy of what they would make their
flat rate.
