HomeMy WebLinkAboutJPAC March 11, 2024 \ JEFFERSONVILLE DATE: 03/11/2024 PUBLIC AR COMMISSION TIME: 5:30 pm STAR1 CREATING IDEAS LOCATION: Mayor's Conference Room CALL TO ORDER • Chairperson Callahan welcomed everyone to the meeting and called the meeting to order at 5:40 p.m. • The meeting was held in person at Jeffersonville City Hall, 500 Quartermaster Court, Jeffersonville, Indiana 47130. ATTENDEES • Arts Administrator o Kathleen (Kat) Wang • Chairperson o Rosy Callahan • Commissioners o Kofi Darku o John Edwards (Zoom) o Dr. Allison Miller o Donna Reed o Amy Semones o Monica Uhl o Teah Williams-Hampton c Sarah Young • Secretary o Joanna Peyron ABSENT • Andy Crouch, City Engineer, GUEST ATTENDEE(S) • Emily Oliver, Executive Director of the GCCS Foundation OLD BUSINESS • Approve minutes from meeting on Feb 12, 2024 o Commissioner Young motioned to approve the minutes. o Commissioner Reed seconded. o Motion passed unanimously. • Stage One Event (3/9/2024): Recap (Administrator Wang) o Great event and well received o Over 100 total signed up for the event with several walk-ins. o Administrator Wang to ask Stage One for demographic information (zip codes, etc.) Good turnout especially for a for paid event 1 JEFFERSONVILLE DATE: 03/11/2024 PUBLIC AR MN/MISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room There was a good tie in with the Soln Visitor Center Many participants went to Schimpf's, had lunch downtown — created extra traffic Potential to fund for next Spring • Partner with local businesses to have specials, discounts, etc. that tie into the books and support arts & community • Marketing signage to direct folks from downtown to Art Center to drive walk-up traffic • Coloring Book (Administrator Wang) o Administrator Wang met with Denise Freville o Map has been updated with rotating sculptures o Old sculptures have been removed o Plan to have to printer in April o Art Mobile is included with a QR code for information and sign-up • Art Mobile attends the Farmer's Market (2nd Saturday of the month). Walk-up event. • Art Mobile sets-up at different parks on the 4th Saturday of the month. Pre-registration event. • Volunteer Sign-up Sheet: Update (Administrator Wang) o Volunteer sign-up will move to Sign-Up Genius o St. Patrick Day — we have all the volunteers needed o Elementary Art Show: • April 11 - 21 • Soft open on Thursday, grand opening Friday • For the Friday opening event, we expect to get 1 ,500 people within 4 hours • We'll have two (2) check in stations • Commissioner Edwards suggested, based on last year, we include a map for the volunteers checking people in to direct students and visitors to where their school's exhibit is located (only had one map last year, better if had more) • Art from five (5) schools will be in the front of the Art Center and art from five (5) schools will be in the back. • Banners will be posted to help direct students and visitors. • Refreshments: • Will be located at Maker 13 and will be provided by students from the Prosser culinary program. 2 JEFFERSONVILLE DATE: 03/11/2024 or,,. PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room • Traffic will be directed from the Art Center to Maker 13 through the bay doors. • Sketchbook: • Students exhibiting their artwork will be able to laser engrave their names on a sketchbook • This will be set up at Maker 13 • The sketchbooks will be provided by JPAC and will include logos from Marker 13, GCCS and JPAC stickered on the back. • Requesting up to 8 volunteers per shift on opening night • Tasks: Sign in, directing through the event, refreshments, monitoring the doors • 4/11 Shifts: 2-4 and 4-6; 1 person per shift (Administrator Wang will be there & will cover) • 4/12 Shifts: 3:30 — 6 and 6 - 8:30; High volume night, all hands on deck • Saturday Shifts: 11-1:30 and 1:30 - 4 • Sunday Shifts: 1-4 • Commissioner Young to send out sign-up to JPAC first, then to volunteer list by April 1 • Commissioner Young will create a flyer with QR code and will distribute for extra volunteer help. o May 17 Shakespeare Event • Need for volunteers and timing to request assistance TBD • Cultural Pass: Update (Administrator Wang) o The Art Center will be on the Cultural Pass o We will schedule Stage One on two dates: June 8 and July 27 o Funding (partial or all) would come from the Cultural Pass program NEW BUSINESS • Guest of Commissioner Reed: Emily Oliver, Executive Director of the GCCS Foundation o Enterprise Mobility & Mark Maxwell from The Crashers wants to get involved and support our programming Commissioner Miller's proposal includes tier-based support over 4 years. At the end of the 4 years, the student/family can purchase the musical instrument or donate it to the school. • Seeing rising costs post COVID 3 \ JEFFERSONVILLE DATE: 03/11/2024 PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room • Scholarship would be a 25/75% split with most funding coming through opportunity • The program would start at 6th grade. • The percentage the family pays would through 9th grade for full ownership. • The program would be available to students at River Valley, Parkview, New Washington and Charleston Middle Schools. o This program would positively impact student success and remove barriers. 0 Commissioners Miller and Reed would like to meet separately with Kat and in a small group to: • Put together a proposal to bring to the Commission • Create sustainable program • Commissioner Reed will send and invite for all to join once date/time is scheduled Arts Commission would coordinate program; Mark Maxwell will help with management and discount; GCCS Foundation will help with funding Chairperson Callahan asked if there's a mode to reach out to the community to collect unused instruments • Commissioner Miller said those instruments aren't in best shape and out of repair • Commissioner Young asked if national program already in place to look at and mirror program • Story Trail: Picking top two winners (Administrator Wang) o Found there was a problem with the list of entries on the common drive. Those entries were from previous years. o Conducted a test of the link on website and have no submissions o Administrator Wany met with Chairperson Callahan to talk about next steps, how to evolve and keep the program fresh and active and the timing for what's next. • Libraries who have a Story Trail program use a pre-written story as a spark for ideation and submissions • We have the potential to do the same and to highlight local authors, bringing authenticity to our mission • The Library Association of State of Indiana has guidelines on how to execute a Story Trail. 4 _� s JEFFERSONVILLE DATE: 03/11/2024 PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room • We can build out the program for future years, target to kids who are into writing and/or the arts, include kids being home schooled, and/or include family written stories. • We could tie our Story Trail into Stage One Story Teller event books. • Add in sponsorship from local business to tie into story • Include a writer's camp around a Jeffersonville hero (partner with the Clark County Museum) • Chairperson Callahan suggested we start with the book, "Saturday Night at the Dinosaur Stomp" • Brainstorm how many community events, tie-ins we can create • Falls of the Ohio and bring in a naturalist, for example • See how we can evolve and scale to make a this a regular program o Discussion: • Consistency is key • Looking at monthly events • Use a punch card or coupon for collaborating businesses • Extend to arts and culture businesses in NoCo • Partner for the arts sticker for participating business like a "Passport for the Arts" • Ms. Oliver asked if there is an opportunity to include a student production to something similar. She has donor who would be interested in supporting something like this. • Commissioner Wang and Ms. Oliver to discuss outside of meeting • Falls Landing: Review submissions (Administrator Wang) o Vote on final 6 for installation o Winners will be announced in March o There are six pedestals in all. Three are close to each other and would want cohesion between those three o Theme: This thematic sculpture series will seek to immerse visitors in the region's story, highlighting the symbiotic relationship between the Ohio River, the Falls of the Ohio, and the vibrant community of Jeffersonville. It will serve as a lasting tribute to the region's heritage and invite individuals to explore their shared past, present, and future along the river's edge.
