HomeMy WebLinkAboutJPAC February 12, 2024 cDATE\j JEFFERSONVILI 4 : 02/12/2024 PUBLIC AR COMMISSION TIME: 5:30 pm STAR I CREATING IDEAS LOCATION: Mayor's Conference Room CALL TO ORDER • Chairperson Callahan welcomed everyone to the meeting and called the meeting to order at 5:36 p.m. • The meeting was held in person at Jeffersonville City Hall, 500 Quartermaster Court, Jeffersonville, Indiana 47130. ATTENDEES • Arts Administrator o Kathleen (Kat) Wang • Chairperson o Rosy Callahan (Zoom) • Commissioners o Dr. Allison Miller (Zoom) o Donna Reed o Monica Uhl o Kofi Darku o Sarah Young o Teah Williams-Hampton • Secretary o Joanna Peyron ABSENT • Commissioners o Amy Semones o John Edwards GUEST ATTENDEES • Andy Crouch (City Engineer) OLD BUSINESS • Reviewed and approve minutes from meeting on January 8, 2024 o Commissioner Darku motioned to approve the minutes. o Commissioner Young seconded. o Motion passed unanimously. • Falls Landing Sculpture Call for Artists Update (Administrator Wang) o The Call for Artists closed on January 31 o We received submissions from 12 artists o Next steps: • Initial review in two weeks with Mayor Moore 1 • c) JEFFERSONVILLE DATE: 02/12/2024 PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room • Will bring narrowed-down submissions to March meeting for final decision o Winners will be announced in March • Story Trail Update (Administrator Wang) • Deadline for submissions is March 1 • We have -24 student submissions to date • 18, 5th graders • 6, 4th graders o Submissions are from multiple schools o There will be a separate committee to help narrow selection • Commissioner Young stated she would like to be on the committee • Administrator Wang will send out sign-up genius to gather interested participants o The subcommittee will bring recommendations to the March JPAC meeting where the full Commission will decide on the top 2 winners o Former Commissioner Freville will help with placards and will provide a quote for the photo books o One of the 2 selected submissions will go be on exhibit in April through December and the other submission from December to March o Annual submission process Jan - Mar. • Feb. 3rd National Painters Day (Administrator Wang) o We estimated attendance at 75-80 people o All attendees seemed to enjoy the event o Damon also enjoyed the day and his items sold well o Commissioner comments: • Chairperson Callahan — lovely day, Damon & family his family were kind, everyone was enthused about the event • Commissioner Young — good presentation, good vibe • Commissioner Uhl — liked the interaction with Damon during set-up • Commissioner Reed noted the event was the same day as NAACP open house; would be good to coordinate so folks could attend each o Documentation of the event: • Commissioners Uhl and Darku videoed some of the presentation and displays • Commissioner Young noted we need to be better about 2 4 JFFFFRSONVILLE DATE: 02/12/2024 PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room documenting and sharing on social media. Having the documentation will help when reporting on grants. • Chairperson Callahan suggested assigning a Commissioner to provide a write-up of the event including attendance statistics, sales figures (if artist is selling items and open to sharing), external impacts (positive or negative) like other community events, weather, etc. • Discussion about holding a lesson learned post event and using a standardized form to ensure consistent and comparable statistics • Commissioner Miller asked if we collect feedback from people in attendance and from the artist. That could be a QR code with quick feedback survey asking, what did you like, what would you change, what would you see more of, etc. • Chairperson Callahan mentioned we should survey the volunteers about their experience • Commissioner Young stated there is a feedback form for Art Mobile & market events which could be modified for use with other events. o Future events: • Administrator Wang — open to idea for different artist talks; enjoyed seeing different artist. Would like to start planning and the selection process sooner. • Commissioner Young noted would be easy to do on a quarterly basis. Not a heavy lift for the Committee. • Chairperson Callahan suggested showcasing the artists in residence • Secretary Peyron commented that if holding the event in February, would be a good opportunity to tie-in with Black History Month • Commissioner Darku noted the Digital Gallery can be used as a support mechanism for the event/artist • Commissioner Darku challenged the Commissioners to think about artists to invite for future showcases • Apr. 6 Derby Depot Day Update (Administrator Wang) Chairperson Callahan and Administrator Wang wanted Prosser students to conduct cooking demonstrations. • Prosser would allow students to attend events where alcohol is served/available. 3 • ci \ JEFFERSONVILLE DATE: 02/12/2024 PUBLIC AR COMMISSION TIME: 5:30 pm ST' -- CREATING IDEAS LOCATION: Mayor's Conference Room • Prosser was open to participate at a different event like the Holiday Market. • Chairperson Wang will reconnect with them in the Fall • There was outreach to Sullivan, but it was too short notice • Commissioner Reed mentioned Ivy Tech was rolling out a culinary program. Could consider for future opportunities. o The Parks Department is expecting 50-80 people to attend the event with women as the primary audience • Parks asked JPAC to lead an art project with horses as the theme • Commissioner Young asked if the project is intended for attendees or to bring in an artist. • Administrator Wang confirmed it would be for artists. We would provide the artists with small horses, artist would paint/decorate them prior to or during event, and they would be auctioned off for charity. • We will move forward with the idea if we can get 2 artists to participate o No Depot event on May 3/Oaks • Commissioner Young asked if could get culinary artists to participate, would we be open to holding an event • Chairperson Wang note we could, as long as close to original idea of free sample stations with no sales • Commissioner Reed noted Orange Clover has been doing cooking demonstrations in the area. • JPAC will supply food 3 POST MEETING DECISION: Administrator Wang notified Commission of decision to not participate in this event since unable to provide exposure to Prosser Academy students as originally intended. She shared her appreciation of the Commissioner's interest and ideas. NEW BUSINESS • Stage One 3/9/2024 (Administrator Wang) o Have submitted to be included in the Cultural Pass program o Accepted in first round to be an included event o March 1 is the deadline to submit ideas for a grant Storytellers has an opening for March 9 Ticketed event - $4 per seat 4 • c:/\ JEFFERSONVILLE DATE: 02/12/2024 PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room • 2 performances - 10 a.m.,2 p.m. out by 3 p.m. • All ages • Use to market the Cultural Pass program • Goal is to bring in 2-3 actors, tell a story, bring books, etc. • Future ideas: Brainstorming (Administrator Wang) o There's an opportunity for programming in September/October and in the winter/December. o Ideate ways to activate center, bring community together, make it easy for team to organize. • Commissioner Young: Look for artist to hold one-time or a series of workshops • Sewing with Tammy (artist in residence) once a month on Monday's • There's a glass event (Lisa) on May 11 • December — ask Prosser to come and do pancake/P.J. breakfast • Get film rites to show creature feature in fall o Commissioner Reed along with Commissioner Miller are working on a proposal for middle school music scholarships • Currently, students must purchase/rent own instrument • We've talked the GCCS Foundation who is willing to partner with us to support/integrate opportunities. • Research shows connection with the arts helps increase graduation rates • Commissioner Miller (PhD in Educational Leadership) is married to Adam Miller, Head Director of Bands at Jeff High, who is seeing the fall out of defunding elementary education arts programs. • There is a lot of staffing turnover and budget cuts for STEM and related arts programs • Kids aren't as exposed to these programs they used to be due to lack of no certified staff and financial barriers. • We can bring Emily Oliver from the GCCS Foundation to a future meeting to discuss opportunities • Commissioner Darku noticed changes when kids when from Maple Elementary to Franklin Square and agrees there's a benefit to start arts education early. 5 c,;\ JEFFERSONVILLE DATE: 02/12/2024 \ .. PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room • This could be a way to balance how we showcase students in music, drama, etc. with our current visual art programming • Commissioner Miller is working on financial piece on what sponsorship may look like • Proposing a tiered approach to giving families with a hand up • For a 6th grader, the scholarship would cover 75% of rental. The family gradually takes over rental cost and builds equity (rent to own program). • Once paid, the instrument could go to school loaner program. • Commissioner Reed has talked to community partners regarding sponsorship of students and/or fundraisers. • Administrator Wang is open to Commissioners bringing potential partners to our meetings. Please let her know in advance so the topic can be added to the agenda. o Commissioner Young ask Administrator Wang how she would you want Commissioners to bring ideas forward and what information to include. • Workshops are always easy - open the door and provide a sign-up mechanism • Focus on low resource ideas - use NAC (not Depot) indoor to account for weather • Commissioners can pitch ideas at our next meeting • No more than 4-5 minutes per idea/presentation • Administrator Wang will take them back and review for initiation • Student art show-next big event at art center o Administrator Wang is: • Following up with GCCS (Mary Katherine) • Will outline needs for volunteer o Start to prep space on April 8 o Showcase has a soft launch on April 11; Formal opening April 12; ends April 28 o We need to focus on sign-ins, etc. to avoid long lines of people waiting • Collaborate on keeping someone there every day so we can keep center open as much as possible 6 • \ JEFFERSONVILLE DATE: 02/12/2024 PUBLIC AR rOMMISSION TIME: 5:30 pm START CREATING IDEAS LOCATION: Mayor's Conference Room • JPAC meeting Monday, April 8 o This is the same day as the Eclipse o Discussion in room about potential alternative dates o All are aligned to meet on Tuesday, April 9 o Commissioner Darku moved to vote on the suggested meeting date. • Commissioner Young seconded. • The motion to move the April JPAC meeting to Tuesday, April 9 passed unanimously. o Administrator Wang to put out notice to the public • Volunteers for Sunday, March 17 Art Table (Administrator Wang) o St. Patrick's Day art project at Depot o Set up will be like Depot Days o We'll decide what the art project will be o Need volunteers to staff the table o Event is scheduled from 1 p.m. — 4 p.m. o Administrator Wang and Mr. Crouch won't be able to attend o Commissioner Young will be available to volunteer for the day o Administrator Wang will send out volunteer schedule and needs • Volunteers: How can we make sign ups easier o Administrator Wang will distribute updated program calendars to group o Ideas: • Commissioner Reed suggested "Sign-up Genius" • Secretary Peyron noted there are people outside of the Commission who want to volunteer • We need to allow for more time/notice to plan the day ▪ Aligned to use sign-up genius (we have a free account); good that sends reminders COMMISSIONER COMMENTS • Commissioner Young is excited to see new faces on the Commission • Commissioner Reed wanted to wish good look to anyone participating in Circle the State (Charlestown High) and is excited to join JPAC • Commissioner Darky is still feeling great vibes from the Painter's Day event and is glad we're thinking about annual event and the potential of expanding beyond visual arts 7 DATE: 02/12/2024 PUBLIC AR COMMISSION TIME: 5:30 pm ST CREATING IDEAS LOCATION: Mayor's Conference Room • Commissioner Williams-Hampton extended a warm welcome to Commissioners Reed and Miller. Noted this was a great meeting and another productive year. • Commissioner Uhl appreciated the great energy in the Commission, great to follow Administrator Wang's lead in keep space active. • Administrator Wang loves being part of Commission, and the fun, enthusiasm, and support. • Administrator Wang wished everyone Happy Lunar New Year! • Commissioner Miller: Thank you! It's great to partner and help Jeff grow • Chairperson Callahan loves flexibility, enthusiasm, and excitement within the Commission. Reminded Administrator Wang to not burn herself out and lean on the Commission when needed. • Commissioner Young reminded everyone of an upcoming Art Mobile Event: o Teen/Adult Art Class at Big 4 Bridge o Wednesday, March 13, 6 p.m. - 7:30 p.m. o Focus on oil and pastels o Sign-up if interested • Chairperson Callahan thanked Secretary Peyron for volunteering outside of the Commission meetings.
