PRESENT(VIRTUAL): CALL TO ORDER: Mayor Mike Moore called the meeting to order at 9:30 a.m. in the Mayor's Conference Room in City Hall. The meeting was held in person and streamed on the City's Website. Clark Miles and Rob Waiz served on the board. APPROVAL OF THE MINUTES: Mr. Miles made the motion to approve the minutes from August 2, 2023. Mr. Waiz seconded the motion; motion passed, 3-0. APPROVAL OF PAYROLL: Mr. Waiz made the motion to approve the payroll. Mr. Miles seconded the motion; motion passed, 3-0. OLD BUSINESS: NEW BUSINESS: 1. Scott McVoy-Request for approval of Lease Agreement between the Police Department and M & M Office Products, Inc.—Assistant Chief McVoy advised this is for the copiers and fax machines at JPD and will save a little bit of money and update some of the equipment. JPD does have the money for this contract in their budget. Mr. Waiz made the motion approve the lease agreement and Mr. Miles seconded the motion; motion passed, 3-0. 2. Paul Northam-Request for approval of the following Special Events applications- Mrs. Ridings advised these were approved at the Special Events Committee and are all for 2023 except for the BB King Music Festival which will be in 2024. • All Hallow's Reformation Festival, October 28, 2023 • Building Liberty 5K, October 21, 2023 • St. Augustine Oktoberfest, September 30, 2023 • Fright Fair on Spring, October 28, 2023 • Sacred Heart Street Dance, September 16, 2023 • BB King Music Festival,August 31, 2024 and September 1, 2024 • 1st Manufacturing Week,September 25, 26 and 27,2023 • Rock on Water, September 9, 2023 Mr. Waiz made the motion approve the Special Events applications and Mr. Miles seconded the motion; motion passed, 3-0. 3. Kim Calabro-Request for approval of contract between City and My Local Santa— Mrs. Calabro advised this is for Santa to MC the Employee Holiday Lunch. Mr. Waiz made the motion to approve the contract and Mr. Miles seconded the motion; motion passed, 3-0. 4. Andy Crouch-Bid award of contract for New Chapel Phase Ill Sidewalk and Road Widening to Temple and Temple— Josh Darby from JTL advised there are two components to this project. The first is the sidewalk along the south side going from Sundancer to Gottbrath that is being funded through the City Sidewalk Funds and the second is the road widening from Gottbrath to Utica Sellersburg Road which is being funded by Redevelopment. There were five bids for this project and the low bid was Temple and Temple in the amount of$830,200 which is approximately$120,000 below engineer's estimate. Redevelopment is paying $541,590.50 which was approved in their July meeting and the request today is for$288,609.50. Mr. Darby stated that Mr. Crouch checked and it is within budget. Mayor Moore asked when the project would be started and Mr. Darby advised in approximately a month and it would take around 4 months to complete. Mr. Miles made the motion to approve the contract and Mr. Waiz seconded the motion; motion passed, 3-0. ADJOURNMENT: With no u - susiness, .
