Dear Chief Grant:
On behalf of Orcutt I Winslow +TEG, we appreciate this opportunity to provide this proposal
outlining professional services for the Jeffersonville Fire Department-City of Jeffersonville.
Over three decades of experience tells us that successful projects begin with a relationship

client and architect to understand and accept their responsibilities.

Section One
Prolect Scone
1.01 . The scope of this project is limited to the Proposed Safety Town Site Plan/Rendering
illustration dated 09 August 2022 located at Fire Station#2,2218 E.10th Street,
Jeffersonville Indiana:
1.02 . For the scope described above,the anticipated project will include the following:
1. Safety Town
a. Streets,walkways
b. Landscaping/fencing
c. Storage building(approx.16'x 24')
Section Two
Scone of Professional Services
2.01 The Scope of Services includes the following consultants:
.1. Architecture(OW+TEG).
.2: Mechanical,Electrical,Plumbing Engineering(CMTA)
.3 Civil Engineer/Landscaping(Heritage Engineering LLC)
NOTE:The scope of services does not include fees for site survey,land acquisition,geotechnical
report,communications and low voltage systems planning,furniture,furnishings,office
equipment,artwork,signage,window treatment,etc. These are the responsibility of the
owner/facility.
2.02 Project Development Phases will include:
.1 Design Development _
.2 Contract Document Development
.3 Bidding and Negotiations
.4 Contract Administration during construction
2.03 Design Development will include:
.1 One(1)meeting with the Owner to determine the locations and requirements for
the following elements:
a.: Site Plan layout •
b. Storage Building layout
c. Types of Finishes
d. Doors and Hardware
e. Electrical Systems including light fixtures/device locations
f. Plumbing and Mechanical work will not be required for site or storage building
.2 Topographic Survey,in area of Safety Town development
.3 Development Plan Approval(City of Jeffersonville Planning&Zoning)
a. Prepare development plan for client review and approval
b: Prepare detailed landscape plan and lighting plan per PD book guidelines/City
of Jeffersonville
c. Prepare and submit Planning and Zoning Application
d. Attend Jeffersonville Committee hearings
.4. Develop a Design Development Package for the Owner's approval,and sign-off
.5 The Design Development Package will then be distributed to the project team for use
in developing the Contract Documents
2.04 Construction Documents will include:
.1 Life Safety Plan..
.2 Site Demolition Plan
.3 Site Layout,Paving,and Utilities plans
.4 Grading/SWPP Plan(Rule 5)and necessary storm sewer calculations
.5 . Storage Building Floor Plan
.6 Reflected Ceiling Plan
.7 Details
.8 Wall/Building sections
.9. Doors,Frames and Hardware
.10-Electrical Plan
.11 Topographic Survey
2.05 Bidding and Negotiations phase will include:.
.1 OW+TEG will assist in bidding the project via public bid.The Owner will provide all
legal documents and Instructions to Bidders pertaining to the Bid.
.2 OW+ TEG will conduct One (1) on-site Pre-Bid Conference with the interested
bidders.
3 OW + TEG will respond to bidder questions and requests for substitutions in
addendum format.
.3. OW+TEG will assist the Owner in tabulating and analyzing the bids.
2.06 Contract Administrative Services will include::
.1 The Project Team will provide shop drawing and submittal reviews, review and•
respond to requests for information (RFI),and review/give recommendations on
change order requests(COR).
.2 The Project Team will review all Applications and Certificates.for Payment from the
Contactor.
.3 .The Project Team will conduct One(1)on-site visit every two weeks and coordinate
project progress meetings with the Construction Manager and Subcontractors on the
days of the on-site visits other monthly site visit.
.4 The Project Team will prepare a final project Punch List review substantial completion
prior to certification of the final Application for Payment.
.5 OW+TEG is not required to make exhaustive inspections of the project contractor's
work during construction, but only to make general, periodic observation of the
construction work. OW +TEG has no authority or responsibility to supervise or
inspect the construction work.
2.07. Interior Design Services will include:
.1 Interior Design Services will be limited to the specification of types of interior
materials/finishes,colors,patterns,and their locations.
2.08 This proposal is based on the following Project Schedule:
s Initial Project Meeting Within 1 Weeks of Notice to Proceed
a Site/Topographic Survey complete Within(4)Weeks from.Notice to.Proceed
3 Schematic Design complete- Four(4)Weeks from Initial Meeting
4 Design Development complete Three(3)Weeks from SD Sign-Off
5 Contract Documents complete Four(4)Weeks from DD Sign-Off
.6 Bidding/Negotiation Four(4)Weeks from CD's complete
.7 Owner Acceptance of Bids To Be Determined.

Section Three
Basis for Compensation.
Orcutt I Winslow+TEG presents a fixed fee of$63,300.00(Sixty Three Thousand Three
Hundred Dollars)for the scope outlined in Section Two of this proposal.
Project Compensation Breakdown by phase:
Design Development(DD) 30%
Construction Documents(CD) 40%
Bidding and Negotiations(BN) 10%
Construction Administration(CA). 20%
3.01 Reimbursable Expenses are not included in the fee stated above. Reimbursable Expenses
shall be charged at a multiple of:1.15 times the expense incurred by the Architect.
Examples of reimbursable expenses include but are not limited to the following:
Travel Expenses(Mileage based on the current Federal Standard per mile)
- Reprographic Expenses to produce check sets and bidding sets::
- Reprographic Expenses to produce presentation drawings and display boards.
- Shipping Expenses associated with distribution of materials associated with the project.
- Advertising expenses
- All City, State and other Authorities having jurisdiction Plan Review Fees, Zoning
Applications,etc.
3.03 The Architect does not control the cost of construction;material suppliers,
subcontractors,general contractors and/or construction managers determine the cost
of the work.The Architect will use generally accepted square footage costs to prepare.
all estimates of the Cost of the.Work.The Cost'of the Work is an estimate and is not a
guaranteed price;factors of inflation,regional variations,material availability,etc.
impact costs,all out of the control of the design team.
3.05 Upon acceptance of this proposal OW+TEG will prepare the AIA B101 Owner/
Architect agreement for the scope of services outlined in this proposal.
Section Four
Additional Services
4.01 All services beyond those outlined in this Proposal are considered Additional Services. If
Additional Services are required,a separate proposal defining the Scope of Services and
Professional Fees will be prepared.
4.02 Revisions to designs or documents after approval at each project development phase or
final documents previously approved by the Owner/Owner's Representative.
4.03 Meetings beyond the meetings outlined in the Scope of Services,(including meetings with
city,state,or other agencies for review of the project.)
4.04 Revisions to drawings upon completion of construction/installation to provide accurate
as-built drawings.
This proposal is valid for 45 days from date issued.

Evaluating professional services is very difficult,scope of services and fees vary greatly from one
proposal to another. If services outlined in this Proposal are not as you desire,please allow
Orcutt I Winslow+TEG to modify to better serve you and the project.
