HomeMy WebLinkAboutParks Authority April 25, 2022 Jeffersonville Parks Authority Monday,April 25th,2022 The Jeffersonville Parks Authority Met in Session on April 25th, 2022 in the Mayor' conference room on the third floor of City Hall. Members Present: Bill Burns, Johnna Anderson, Ralph Scales, Lisa Carter, Carmen Croudep,Savannah O'Neil and Pam Clark. Also Present: Director Paul Northam. All contracts are approved pending legal review. Director Northam added basketball goals for the secondary court at Nachand Fieldhouse for$10,000.00. APPROVAL OF AGENDA Member Burns made a MOTION to approve the amended agenda for the April 25th, 2022 Parks Authority meeting,the motion was seconded by Member Clark. The motion PASSED on a vote of 7-0. AP_P_RfOVALTOF_MIN UTES Member Burns made a MOTION to approve the minutes from the March 28th, 2022 Parks Authority meeting,the motion was seconded by Member O'Neil. The motion PASSED on a vote of 7-0. OLD BUSINESS- Mann-Timing Quotes-We sent out 11 requests for a quote and we received 3 quotes back. Crossroads Timing for$2,020.00, Five Star NTP $2,111.25 and 3 Way Racing$2,000.00. We would like to go with 3 Way racing as they are the lowest and the company that has done the last three events for the Kids Tri IT. Member Clark made a MOTION to approve the contract with for timing for the Kids Tri IT with 3 Way racing for$2,000.00,the motion as seconded by Member O'Neil. The motion PASSED on a vote of 7-0. NEW BUSINESS- Powell-Riverstage Contracts-Cover Me Badd,Clayton Anderson,Gran Delusion and Eight Inch Elvis are. some of the bands that we have been able to get for our summer concerts and we are very excited to have them. Member Clark made a MOTION to approve the Riverstage contracts with Cover Me Badd, Clayton Anderson,Gran Delusion and Eight Inch Elvis,the motion was seconded Member O'Neil. The motion PASSED on a vote of 7-0. Powell-Cluckers Contract-Cluckers has been doing this contract for the last couple of years and this contract is in accordance with what was previously agreed to with the exception of it being a year to year contract instead of a three year contract. More companies have been showing interest in doing the Riverstage Alcohol Concession provider and we wanted to keep it fair every year. Member Burns made a MOTION to approve the Riverstage Alcohol Concession Agreement with - Cluckers,the motion was seconded by Member O'Neil. The motion PASSED on a vote of 7-0. Mann-Concession pricing for the pool-We have done a side by side comparison from 2021 to 2022 and these are the changes that will start this aquatic season. Some things are due to the pricing going up from our vendors and some of it is new items or items that we are adding things too such as the burgers will now have lettuce and tomatoes and that cost is .50 more. Member Anderson made,a MOTION to approve the new Concession pricing,the motion was seconded by Member Clark. The motion PASSED on a vote of 7-0 Northam-We have decided to follow the street department's idea of picking one company and using them through the year so we sent out requests to four companies for the paving jobs that we are looking to have done this year. The aquatic Center's parking lot and walking trials, Oglesby Park's walking trails and Inman Park's walking trials. A and S Seal Coating didn't return my, MAC didn't return my call, Derby City Paving sent a quote but it didn't match up apples to apples with the Flynn Brothers so I went over the quote with them trying to get the quotes to match but when they sent the final quote it still didn't match so I don't know if I can even use it. The first was$144,000.00 which is three times the amount of the Flynn Brothers' quote in the$45,000.00 range. So we would like to go with the Flynn Brothers as put paving vendor for 2022. Member Anderson made a MOTION to approve the paving contracts for Flynn Brothers'for 2022 pending funding,the motion was seconded by Member O'Neil. The motion PASSED on a vote of 7-0. Northam-Basketball Goals- Invoice for$10,000.00 for two basketball goals they were used at another fieldhouse but they have been sitting unused for a couple of years and are in great condition. Member O'Neil asked about the school paying for half of the previous basketball goals and Director Northam stated that the school will be paying half of the previously purchased goals but I don't expect them to pay for any of this. I will call Jeremy and remind him of the contract and see what he says. I will also look into it being a claim on our insurance. Member Anderson made a MOTION to approve the purchase of the two basketball goals for$10,000.00 for Nachand Fieldhouse,the motion was seconded by Member Clark. The motion PASSED on a vote of 7-0. DIRECTOR'S REPORT Amber Powell-The Riverstage is being moved down next week. We announced the Jeff goes Country headliner last week and we are very excited. We are not doing the twilight light cinema this year but instead we are doing a car show for classic cars with a movie afterwards and so we are calling it a cruise in.This is only happening one a month as well not every weekend. Olivia Mann-The pool opens in 33 days, it is finished plastering and is being filled as we speak. It looks really nice and our staff has done this paperwork and now we are getting ready to get them working in the center. Dave Simpson-Sponsors are going good,we have some taking the year off but it's giving us the chance to look for some new blood. The Cruise-In Cinema event packages are ready, Coke has the naming but we still need sponsors to fill it out. Donnie Poole-We are waiting for the weather to cooperate but we are working the lawn and the pool opens in 33 days so we are going to be there quite a;bit helping in any way that we can. We had Thunder on Saturday and while there were problems we finished the cleanup in one day and they did a great job. Director Northam-The maintenance crews did a fantastic job cleaning up after Thunder and getting every job on their list done. The Derby Committee didn't show up for cleanup and so our crews and the street department came in to start the cleanup. We were told repeatedly that the Derby Committee had people coming but they still have not showed up and the cleanup is now completed. We are working on the parking lot behind Colston Park,we used this for Thunder for a fundraiser for the animal shelter. Summer palooza is something we are doing starting in May and we are asking for our departments to put together teams for each event.
