18 years of age or older, are required to load in, set up, tear down and load out. All
crew should wear covered shoes appropriate for moving equipment. Flip flops or

each missing local crew member per instance
b.) We will also need at least three (3) responsible adults over the age of 18, and it

3. HOSPITALITY
A.GREEN ROOM
A private room, preferably back stage, able to comfortably seat 8 - 10 people will
be needed. One case of bottled water shall be available at the time of load-in. We
love cold drinks (PowereAde, Dasani Water, Red Bull, Sun Drop, Naked
smoothies), hot coffee and snacks too, such as fresh fruit, chips, salsa, guacamole,
as well as peanut M&Ms, granola bars, cheese dip, etc.
B.CATERING/MEALS
In order to help keep expenses at a minimum, it is completely acceptable to have
any willing volunteers who would like to serve by providing meals. Although we
are not picky eaters, we have attached a rough suggested outline for meals. Feel
free to substitute; this is only a suggestion so that we don't end up having the same
thing five nights in a row.
Meal Buy Outs
There will be a minimum of 5 people traveling with us. In some cases, the band
will be traveling over the lunch hour to your event; therefore a lunch buyout shall
be needed. Check with our Road Manager to see if a lunch buyout is needed. If this
has been agreed upon, please provide Road Manager with $10 per person at load in.
If a dinner buyout has been agreed upon, please provide the Road Manager with
$15 per person at load in. If both lunch and dinner are agreed upon to be buy outs,
please provide Road Manager with the total amount at load in.
LUNCH
Some suggestions are:
• Barbecue (pulled or shredded)
• Submarine or assorted sandwiches
• Chicken fingers
• Deli platters (including assorted lunch meats and cheeses.)
• Variety of Soups
• Mixed green salad with vegetables
DINNER
A hot meal of your choosing will be needed. 1 Main Course, tossed salad (with a
variety of dressings), 2 fresh, hot vegetables, bread, desert.
RHETT WALKER BAND
Suggested Dinner Plan: This is just to avoid having the same thing 5 nights in a
row. We are gone from home MANY days in a row. Feel free to be creative.

Tuesday Mexican or Tex-Mex
Wednesday Hearty Beef or Chicken Stew
Thursday Italian
Friday Chicken Casserole
Saturday Stir Fry
Sunday Pork Chops
C.ACCOMODATIONS (HOTEL AND SHOWERS)

of the venue. ARTIST highly recommends and prefers the following hotels: Hampton Inn, Fairfield

When making the reservations, please request rooms to be blocked together and on the FIRST floor
(This is due to the band carrying heavy gear with them into the hotel). Please secure the rooms and
have the runner give the keys to the Road Manager on the day of show during the lunch break.
ii.)Hotel buy-out:There may be times for one reason or another that the band will be leaving for the
night to move on toward another show, another town, etc. In this case we ask that you provide the
band with a hotel buy-out of$80.00 a room, for a total of$240.00. This can be given directly to the
band in cash or added to the total check amount for the night. Please check with the Road Manager a
few weeks before the show for clarification on this item.

he/she will then instruct the other volunteers later.
RHETT WALKER BAND

f.) NO SALE OR DISTRIBUTION OF NON-FOOD ITEMS WILL BE
ALLOWED ON, IN, OR NEAR THE CONCERT AREA.
g.) Personnel other than persons working the merchandise table will ensure that
after the concert, if the Artist is going to sign autographs, that there is one (1) table
just for autographs (not located with the merch tables), there will be an orderly line
of persons waiting for an autograph, that all persons in line are continually told they
can only have one item signed (no personalization), and that the line is kept moving
so that everyone is accommodated. This personnel will be responsible for escorting
the artist from the green room after the show, to the signing table.
h.) Due to the recent changes in Soundscan reporting, a record company executive
or Soundscan representative will contact the SPONSOR to verify the amount of
CD's sold at your concert. At the end of the concert the Road Manager will need the
signature of a venue rep to verify venue CD sales. This person will also need an
email that matches the venue name (i.e.: First Baptist Church /
joe@firstbaptistchurch.org). When the record company executive or Soundscan
representative calls you, it is imperative that you provide them with the EXACT
number of units sold at your venue. The form the SPONSOR will fill out is a
Soundscan affidavit form and cooperation in signing the form and answering any
questions asked after your concert is very important and much appreciated. For
further answers to any questions you might have, please direct them to Patton
House Entertainment.
