I, PATSY KISER, have received a copy of the City Clerk's PTO/Vacation and Hour and Wage Policy. I
hereby agree to adhere said policy and the City of Jeffersonville Policy. I acknowledge that said policy is
supplemental to the City of Jeffersonville Policy and Procedure Manual. I further agree to adhere to
those provisions of the City of Jeffersonville that are not in direct conflict with the Clerk's PTO/Vacation

Vacation/PTO Policy for Jeffersonville CityC_
L Vacation
II. Exempt Employee— These are salaried employees whose salary and
job duties meet the criteria of one of the exemptions under the Fair Labor Standards Act
(RSA) and/or Indiana Code 222-2-3. Exempt Employees are paid on a salary basis and are
not eligible for overtime pay.
A. Full time appointed (Exempt) employees of the Jeffersonville City Clerk's office shall be entitled to
annual vacation leave with pay according to the following schedule: ANNIVERSARY DATE
IS JANUARY 1.
1. Length of Service&Vacation Benefit
• The employee will receive five (5) days of vacation pay at date of hire.
• On January 1, of the year in which the one (1) year anniversary occurs, the employee
will receive ten (10) days of vacation.
• On the following January 1, the employee will receive fifteen (15) days of vacation per
year until his/her fifth anniversary.
• On January 1, of the year in which the five (5) year anniversary occurs, the employee
will receive twenty(15) days of vacation. He/she will receive an additional five (5)
days upon his/her anniversary for a total of(20) twenty days.
• On the following January 1, the employee will receive twenty (20) days of vacation per
year until his/her fifteen year anniversary.
• On January 1, of the year in which the fifteen (15) year anniversary occurs, the
employee will receive twenty (20) days of vacation. He/she will receive an
additional five (5) days upon their anniversary for a total of(25) twenty-five days.
• The employee will receive (25) days of vacation on January 1, of each year thereafter
2. City Clerk employees will be eligible for their yearly vacation days on January 1 of each year.
3. Vacation leave is credited for all continuous service in active pay status. Vacation is not
accrued while an employee is in a non-paid status (i.e., leave of absence without pay,
disciplinary suspensions, and disability leave under unpaid Family and Medical Leave).
4. Vacations are scheduled in accordance with workload requirements of the City Clerk's
office. The City Clerk has the authority to approve or deny vacation requests.
5. Vacation must be requested at least 3 weeks in advance of the proposed starting date.
6. Employees may accumulate vacation time from year to year. Upon separation from the City
of Jeffersonville City Clerk's Office, an employee shall be paid for all accrued unused
vacation leave,not to exceed thirty(30)days. Such payment will be made in one payment at
the final
paycheck of the employee. Any remaining vacation balance after this payment shall be
reduced to Zero.
7.If an employee resigns or is terminated after June 30th,but on or before December 31 st of a
calendar year,he/she shall be entitled to all of the regular stipulated number of days of vacation
leave during the calendar year,but is entitled to no vacation leave pay for the following year.
8.Vacation leave is granted in minimum units of four(4)hours or half-day(1/2)increments;lesser
amount must be approved by the City Clerk.
9.Vacations shall be scheduled in accordance with the needs of the department and the City
Clerk will make every effort to respect the vacation request.
10.Only full time employees are eligible for vacation benefits.
Non-Exempt Employees -These are employees whose job duties
do not meet the criteria of one of the exemptions under the ELSA or
Indiana Code 22-2-2-3. Non-exempt employees are paid on an hourly
basis are paid straight time for all lime worked up to 40 hours per
week, and one and one-half times their regular rate for any time
worked in excess to 40 hours in a week, and as may otherwise be
required by applicable wage and hour laws. Non-exempt employees
must record the number of hours worked each week. Except as set
forth in the employee's written job description or as notified by the
Human Resource Department, all City employees are designated as
nonexempt
B.Full time nonexempt employees of the City Clerk's office shall be entitled to annual vacation leave

• On the following January 1,the employee will receive fifteen (15) days of vacation per
year until his/her fifteen year anniversary.
o If an employee is separated from employment with the City of Jeffersonville City
Clerk's Office and is reinstated before one year of the date of separation; the
employee may retain seniority by carrying up to ten(10) days of vacation.
• On January 1, of the year in which the fifteen(15)year anniversary occurs,the
employee will receive fifteen(15) days of vacation. He/she will receive an additional
five days upon their anniversary for a total of(20)twenty days.
• On January 1, of each year following the fifteen (15)year anniversary, he/she will
receive (20)days of vacation.
• On January 1, of the year in which the twenty-fifth(25)year anniversary occurs,the
employee will receive twenty(20)days of vacation. He/she will receive an additional
five days upon their anniversary for a total of(25)twenty five days.
• The employee will receive (25) days of vacation on January 1, of each year thereafter.

II. Personal Time Off (PTO) With Pay
A. Personal Time Off is a benefit provided to full-time employees (Exempt and Non-Exempt)
of the Jeffersonville City Clerk's office.
B. New full-time appointed (exempt) employees will receive six (6) days of personal days at
date of hire.
C. On January 1 st of each year, employees will receive six(6)personal days per year.
D. The employee will not be required to use the personal days before the end of the year.
E. The employee will be allowed to bank up to fifteen(15)unused days.
F. An employee who transfers from one department or office of the City to another
shall be permitted to take his/her PTO days.
G. PTO days may be used in one-half('1/2)day increments.
H. The procedures for requesting PTO to request through the Payroll System for approval by
the City Clerk.
K.Upon separation from the City of Jeffersonville,for reasons other than for cause,the employee shall
be paid for 33 1/3%of unused PTO time,not to exceed a maximum payment for fifteen(15)
Days. Such payment will be made in one payment in the final paycheck to the employee. Any
remaining PTO balance after payment shall be reduced to zero.
PTO/VACATION DAY BUY BACK
The City of Jeffersonville may purchase from a full-time employee (non-collective
bargaining) employee of the City Clerk's Office up to ten (10) PTONacation days per
calendar year. The employee must take the request to the City Clerk. The request will only
be granted by the City Clerk if there are sufficient funds appropriated in the Clerk's Budget
to purchase of the PTONacation days requested. The City Clerk shall approve the request
and processed through payroll.
