HomeMy WebLinkAbout2014-R-172014-R- I RESOLUTION REQUIRING FILING OF DOCUMENTS WITH THE CITY CLERK WHEREAS, the City of Jeffersonville Common Council ("Council") is the fiscal and legislative body of the City of Jeffersonville and must act with the best and most current information available when it weights all action before the body; WHEREAS, IC 36-4-6-21 Investigative Powers of Legislative Body, provides the Council ability to receive or investigate certain information from other city bodies; WHEREAS, the Council has the ability to review and investigate each contract with the City of Jeffersonville; WHEREAS, the centralized record keeping will assist the Council in its oversight of the City's Fiscal Affairs, encourage transparency and assist in the performance of audits; WHEREAS, the Council desires to eliminate the requirement of having to request this information each time from various sources, and that certain information be provided to the City Clerk for centralized record keeping; NOW, THEREFORE, BE IT ORDIANED by the Common Council of the City of Jeffersonville all City Boards, Commissions, Bodies and Officers must file a complete copy of each of the following types of documents with the City Clerk within three (3) days of its execution: A. All Executive Orders B. All contracts for all City Officers, Employees, and Independent Contractors receiving monies from the City of Jeffersonville. C. All union contracts and agreements D. All Approved and Signed minutes of boards, commissions, bodies and officers. E. All Interlocal Agreements F. Any other documents, which may be summoned by the Common Council by resolution. G. Boards, Commission, Bodies, Meetings, Workshops, Special Meetings, Memorandum of Executive Meetings 1. Board of Public Works 2. Drainage Board 3. Plan Commission 4. Board of Zoning Appeals 5. Building Authority 1 6. Fire Merit Commission 7. Police Merit Commission 8. Historic Preservation Commission 9. Public Arts Commission 10. Parks Authority Advisory Board 11. City Council/Finance Committee 12. Revolving Loan Fund Committee 13. Redevelopment Commission 14. Parks Authority 15. Parks Special Events/River Stage Board 16. Parks Facilities Advisory Board 17. Parks Sports and Athletic Board 18. Sewer Board Meeting stenographers (WHO ARE PAID THROUGH DEPARTMENT BUDGET) SHALL submit the original minutes/documents to the City Clerk upon receipt; the City Clerk will submit a payroll voucher to the Finance Department for payment to the stenographer for the Current Pay Period cutoff date. NOW THEREFORE,IT IS HEREBY RESOLVED that the Common Council of the City of Jeffersonville does hereby approve the Resolution Requiring Filing of Documents with the City Clerk.
